Connect QuickBooks Online to Raysly

Connect QuickBooks Online to Raysly so the deposit invoice and payment of an order are posted to your company. Owners and admins connect it from Integrations.

Connect your QuickBooks Online company to Raysly and post the invoice and the payment of an order straight into QuickBooks. QuickBooks stays your accounting system: Raysly creates customers, invoices and payments there.

The QuickBooks Online connection is in beta.

Connect QuickBooks Online to Raysly in five steps: open the QuickBooks tile, choose your company and approve, check the connection, record the deposit on an order, check the result.

Before you start

  • You need a Raysly account. If you do not have one yet, create a Raysly account first.
  • Sign in to Raysly as the account owner or an admin. Only owners and admins can connect or disconnect an integration.
  • Have a QuickBooks Online login that can authorise an app for your company.
  • Know which QuickBooks company Raysly should post to. You pick it on the Intuit sign-in screen.

Connect

  1. Open the QuickBooks Online tile. In Raysly open Settings → Integrations. Find the QuickBooks Online tile with the search box or the Accounting filter, and click Connect on the tile. A details panel opens. Click Connect in the panel to go to Intuit.
  2. Choose your company and approve. Sign in at Intuit, pick the QuickBooks company to connect and approve. Raysly asks for the QuickBooks accounting permission only.
  3. Check the connection. Raysly brings you back to Integrations and shows a green confirmation banner. The tile now says Connected, and the details panel shows which account it is connected as. The card shows the name of your QuickBooks company. Raysly also tries to read your chart of accounts and tax codes and sets default account mappings; if that step fails, the connection still works.
  4. Record the deposit on an order. Open an order under Orders. When you click Mark deposit received (cash) or Mark bank transfer received, Raysly tries to post the deposit invoice and its payment to QuickBooks right away.
  5. Check the result. The order shows Synced to Quickbooks with the date. If the first attempt did not finish, the order shows Sync to accounting; click it to post again. If it shows an error, the button reads Retry accounting sync.

What Raysly reads and writes

  • Reads: the name of your company, your chart of accounts and your tax codes.
  • Writes: customers, sales invoices and payments for the order deposits you record.

Orders Raysly does not post

An order that mirrors a sale made in a shop you connected to Raysly is booked by that shop, so Raysly does not post it to QuickBooks.

If you receive orders from Swiss customers, the QuickBooks card in Settings → Integrations shows a notice about sending their data abroad. Those orders wait until an owner or admin confirms the notice. Nothing is sent before then.

Disconnect

In Settings → Integrations open the QuickBooks tile and click Disconnect, then confirm. Raysly marks the connection as revoked and stops using it. Raysly stops posting to QuickBooks. Invoices and payments already in QuickBooks stay there; Raysly does not delete them.

Raysly's authorisation can stay listed at QuickBooks after you disconnect. To remove it there as well, remove the Raysly app from your Intuit account.

Frequently asked questions

Which QuickBooks company does Raysly use?

The company you pick on the Intuit sign-in screen when you approve the connection. To use another company, disconnect and connect again.

Raysly posts when you record a deposit with Mark deposit received (cash) or Mark bank transfer received, and when you click Sync to accounting on the order. The order screen posts the deposit invoice and its payment.

Does Raysly file taxes for me?

No. Raysly only creates invoices, customers and payments in QuickBooks. Your QuickBooks company stays the place where your accounts and tax filings are handled.

Who can connect or disconnect?

Only the account owner and admins. Other team members can use what is connected but cannot change it.

The connection to QuickBooks did not finish. What now?

Raysly shows a red notice at the top of Integrations that starts with "We couldn't complete the connection" and gives a short reason. Click Dismiss and click Connect again. Nothing is connected until you approve the request at QuickBooks. Still stuck? Email support@raysly.com and tell us the platform, what you clicked and what you saw.
